Privacy Policy

1. Who we are and our role
AtlasHire, Inc. (“AtlasHire,” “we,” “us”) provides software that helps hiring teams schedule, conduct, record, transcribe, and evaluate interviews and assessments, including AI-assisted features. For account and website data of our business users, we act as a controller. For candidate and interview data, we act as a processor / service provider on behalf of the Customer and process that data only to provide the Services and as instructed by the Customer. The Customer is responsible for the legality of its collection and use, including providing notices and obtaining consents.
2. Information we collect
Account and organization data
- Identity and contact details of staff users (name, email, avatar, role).
- Organization details (company name, size, culture and environment descriptions).
- Authentication identifiers from our identity provider and organization membership.
Candidate and applicant data
- Name, email, role applied for, and resume files and extracted resume text.
- Scheduling and availability information.
- Optional identity-verification status (when the Customer enables it), processed by a third-party identity provider that handles government ID and selfie/liveness checks; we store only a reference identifier and status, not the underlying ID images.
Interview content and recordings
- Live audio and video during interviews, relayed in real time by our communications provider. We do not retain composite video recordings of interviews as a standard feature.
- Speech-to-text transcripts generated from interview audio and stored as text.
- Code, terminal commands and output, collaborative whiteboard/diagram content, and AI-assistant chat created during interviews and assessments.
- Interviewer notes, scores, feedback, and AI-generated evaluations, summaries, and recommendations about candidates.
Behavioral and integrity signals
When enabled by the Customer, the Services record interaction and integrity signals during an interview or assessment — for example, tab switches, window focus changes, clipboard copy events, and camera-disabled events — to support evaluation and integrity. The Customer determines whether to enable these features and is responsible for any required disclosures.
Integrations and technical data
- Applicant-tracking and calendar integration data and credentials (stored encrypted), when the Customer connects them.
- Usage, device, log, and diagnostic data, and cookies or similar technologies used to operate, secure, and improve the Services.
Some of the above may be considered sensitive (for example, voice-derived data and identity-verification data). The Customer is responsible for determining the lawful basis and for obtaining any consent required to collect and process such data through the Services.
3. How we use information
- To provide, operate, secure, support, and maintain the Services;
- to generate AI-assisted features (live suggestions, transcription, summaries, scores, and feedback) as directed by the Customer;
- to monitor, troubleshoot, prevent fraud and abuse, and ensure integrity and security;
- to improve and develop the Services, including by producing aggregated or de-identified analytics that do not identify any individual;
- to communicate with our business users and provide support; and
- to comply with law and enforce our agreements.

4. How we share information
We do not sell personal information. We share information with:
- The Customer and its authorized users, who control the candidate and interview data in their workspace;
- Subprocessors that help us run the Services, including providers of authentication, cloud hosting and database/storage, real-time audio/video, speech-to- text, AI models, email delivery, code-execution sandboxes, real-time collaboration, identity verification, and applicant-tracking and calendar integrations. These providers process data on our or the Customer’s behalf under contractual obligations;
- professional advisors and authorities where required by law or to protect rights, safety, and the integrity of the Services; and
- a successor in connection with a merger, acquisition, financing, or sale of assets.
5. AI processing
The Services send interview content (including transcripts, code, whiteboard content, chat, and activity signals) to third-party AI providers to generate outputs. AI outputs may be inaccurate and are decision-support only. See our Data & AI Use Policy for details, including provider data-handling and how to limit AI processing.
6. Retention and deletion
We retain information for as long as needed to provide the Services and for legitimate business and legal purposes, after which we delete or de-identify it. The Customer controls retention of its workspace data and may request deletion. Account and organization owners can delete their data and their organization from Settings; deleting an organization removes its associated workspace data, and deleting your account removes your profile and associated personal data, subject to backups and legal requirements. Some records (for example, audit, security, and compliance logs, and de-identified data) may be retained as permitted by law.
7. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, port, or restrict processing of personal information, or to object or withdraw consent. Candidates should direct requests to the organization that invited them, which controls that data; we will assist Customers in responding. Business users may contact us at privacy@atlashire.ai. We may need to verify your identity and may decline requests as permitted by law. The Customer’s deletion and export tools are available to administrators in the product.
8. Security
We use administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and encryption of stored integration credentials. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Report security concerns to security@atlashire.ai.
9. International transfers
We and our subprocessors may process and store information in the United States and other countries that may have different data-protection laws than yours. Where required, we rely on appropriate safeguards for cross-border transfers.
10. Children
The Services are for business use and are not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided information, contact privacy@atlashire.ai.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be indicated by updating the Effective date, and your continued use of the Services constitutes acceptance. Contact us at privacy@atlashire.ai or AtlasHire, Inc., [mailing address].
